We like to make it simple, but let’s face it there is little that is simple in life when it comes to finding a notary and in getting our documents notarized, right? Not anymore, ONE has broken it down for you to assist you. Example (A) You have a form for your insurance company that requires you and your spouse’s signatures on page two and just one notarization with no witness required, that is one 15-minute session– one online notarial transaction with an upgrade for an additional signer.

Example (B) You have that same form for your insurance company as in example A, but you also have a letter for your safety deposit box that requires both of your signatures and one notarization with no witness. You and your spouse are the only signers but these are (2) document transactions requiring separate notarizations, you will need (2) 15-minute sessions. You would just make one account and check out once for each document. You will have booked two 15 minute sessions total with an upgrade for an additional signer for each session.

Example (C) You have a Lawsuit settlement of several pages in the PDF and there is one copy for you to sign that needs one notarization but then you also have a second packet of several pages in the PDF with one for your spouse that requires only their signature and one notarization. That is considered two or multiple PDF transaction documents. If you have multiple documents you will need to do one session for your packet and then purchase another 15-minute session for your spouse. You can still use one account, no need for two accounts, just repeat the process and book a second session for your spouse for a total of two 15 minute sessions and no upgrades are needed since there is only one signer on each document.

Hint: if you purchase two sessions due to multiple documents if ONE’s schedule allows we will email to offer you the option of back to back sessions (when available) if you prefer to sign them concurrently.

Not to worry, each participant receives a unique invitation and is required to log on from their own device at the same time to sign.

The participants must all attend the signing at the scheduled time. It is important that you arrive five minutes ahead.

Remember if you need the notary to also be an online witness to add that option upgrade to all transactions separately.

How do we perform your secure remote electronic notarization service? The best way to handle your remote notarization is with the help of video conferencing.
ONE’s electronic process uses patented top of the line remote notarization online software with digital signature technology that protects your document from tampering and provides a highly detailed record of the signature and notary process. The multi-factor knowledge-based authentication used positively verifies the identity of each signer.
You do not need to install software on your computers, other than download and use a commonly available PDF viewer get.adobe.com/reader/ and web browser. You also do not have to store any private key on your own machine. This means you can sign a document from any computer or mobile device on the Internet.

Yes, Remote Online Notaries (RON) notaries can notarize from Florida to every state in the United States of America. The signers and witnesses must be U.S. Citizens. The Citizens are not required to be in the same state or even in the U.S. during the remote online signing as long as they can properly pass the Knowledge Based Authentication system (KBA) with U.S. identification as a U.S. Citizen.

On January 1, 2020 Florida enacted the “Electronic Legal Documents” law under 1N-7001, Florida Administrative Code. The law outlines the duties and responsibilities of the Florida Remote Online Notary Public. Each Notary must undergo an online educational training course and receive a certificate of completion and then is appointed as a Remote Online Notary. RON notaries commission runs in accordance with the notaries public commission under the Governor of the State of Florida.

Have you been told that you will need a witness? Don’t worry we’ve got you covered. For a small fee you can upgrade to have the notary also act as a witness. If you need additional witnesses for your remote online notarization, you may have an adult member of your family, a friend or a neighbor join on during your signing session from their separate location, its that easy.

How does that work for the Florida notary to also be a witness? ONE’s remote notary public can both notarize and also act/sign as one witness in the State of Florida.

If your closing on a real estate transaction usually two witnesses are necessary (with the exception of Georgia). The signers are responsible for providing the witness If two witnesses are required for your documents you can upgrade to have the notary sign as one witness and you will only need to provide (1) other. The witness must appear electronically via video chat with proper identification. The witness will watch you during your session as well as watch the notary to completely witness the transaction.

Please make sure to add any upgraded services to your selection when you check out. Those services will be billed separately via email after you have scheduled with ONE.

Completing a notarial session online is actually an easy process and doesn’t take a lot of time. After purchasing a session, the signer/s will receive an email letting them know they have a document signing appointment session. The user clicks on that link at the schedule time and is brought to a ZOOM session. The online notary meets with the signer/s and starts the KBA multi-factor knowledge-based-authentication session where they may be required to consent to the use of electronic signatures and authenticate their identity. You will need your cell phone or tablet during the session to receive a text and to upload a “selfie” photo. The KBA requires the signer/s to enter their social security number, state issued picture identification such as a driver’s license and answer a set of four out of five questions correctly that only the signer/s will know the answers to. The signer/s have two minutes to answer the questions correctly. This information is never viewed by anyone other than the signer and that part of the session is not recorded for your privacy.
Then, the notary verifies their ID against the signer/s on the webcam. The document(s) is displayed and is signed by clicking the signature line indicated by “Click here to sign.” This action initiates a “signing ceremony,” whose purpose is to authenticate the signer and capture objective evidence of their intent to sign. Same process for initials on all documents.

This action is then securely transmitted through the platform, which uses this information to validate the user and create the signature on the document. The document is time/date stamped and encrypted and available for download by the signer/s logging into the account they created up to 90 days. A video of the session can be ordered for $20 if the signer would like a copy for their records. Recordings are kept for ten years by law.

Please note we will not be using passports for identification only U.S. driver’s license or state issued ID. It is important to understand that there is no guarantee that a signer/s will pass KBA and be able to participate to conduct remote online notarization. If the signer/s cannot pass the ID verification, the video session is ended.

Each single document session is fifteen minutes long. If you require additional time due to a slow or poor internet connection, trouble using your device and you run out of time you will have to purchase an additional session. No worries, we will send you an email with the check-out link during the session. If you opt to cancel/end the session there will be no refunds (please see ONE’s policy and terms of service)

Yes, it is true that you can utilize your cellular telephone for the entire transaction. However, ONE highly recommends that you use another device such as a laptop or desktop PC to avoid the possibility of disconnections during the signing. The signing is fifteen minutes per session and you would not want to have to purchase an additional session due to your equipment or connection issues or failure. Also, you cell phone should be free to receive a text for the secondary authentication process as this must be completed on a cell phone or tablet. You will also need your cell phone free to upload your identification during the session as part of the identification process. We do not have a mobile app at this time.

ONE schedules online notaries time in advance to provide you with the allotted session time. If you opt to cancel ahead after purchasing or end the session for any reason other than a crisis such as a natural disaster or major medical emergency beyond your control, there will be no refunds (please see ONE’s policy and terms of service before placing your actual order)
